How we collect your information 

The information held by our booking and management system comes through services booked or purchased (e.g. Copy Certificates) through the registration service online, through the contact centre or through in-person bookings. 

This is attained when a user enters the appointment, booking or copy certificate ordering processes and opts into the terms and conditions of requesting this service online.

 

The type of information we hold 

The information we hold includes name, informant names, contact telephone numbers, email addresses and details that support the booking and administration for statutory appointments and bookings, as well as the production of copy certificates. 

We do not use cookies within customer facing booking processes.

 

How we use your information 

We will lawfully process personal information in the following ways; 

  • Where you have purchased goods (certificates) and services from our client, we process your personal information to fulfil your booking or order. 
  • We process your personal information for the legitimate interest of providing the registrars with the relevant information needed to conduct or complete your request. 


 

Who we will share your information with

We will not share your personal information about you with third parties without your consent unless the law requires us to. We do need to pass on some of this personal data to: 

  • Our supplies and partners who are involved in delivering the service. 
  • Our business and marketing service providers. 

Our suppliers are bound by UK privacy law and the terms of the contracts we have with them. 

Information will not be transferred outside of the European Economic Area (EEA) unless directed by the customer.

 

Storing your information

Your personal information will be stored on systems owned or operated by Stopford Information Systems or those of our specific suppliers and will only be stored in the UK, the European Economic Area (EEA), or a country considered to provide adequate data protection by the EU. 

 

Retention

We will retain your personal information in accordance with legal and regulatory requirements.

Concerning data retention for registration-related activities, these are managed by their own act of parliament, with the data controller being responsible for the archiving of data after its use has been fulfilled.
